

When you first open the ROI calculator you will see an ROI Summary tab. This will be populated as you enter data into this and the other tabs.
Throughout the calculator, you can only use the yellow highlighted cells to enter your company specific data.
At the bottom of the worksheet, there are some example benefits that we have included, for assistance in estimating the expected benefits your organisation can gain from adopting Knowby across your business.
In the first yellow cell on the Summary tab, enter the expected number of annual public views of knowbys, for example, where you use Knowby as a customer facing instruction guide.
In the second yellow cell, enter the cost of maintaining your suite of knowbys, which will mainly be the labour cost for your Knowby administrator.
Contact Knowby for general advice on the minimal effort required to maintain knowby content.
In the third yellow cell on the Summary tab enter the estimated cost of implementing Knowby.
This will also be mainly labour cost for the Knowby implementation project. The scope of this project will depend on the size and risk profile of your company and information security requirements.

Next, go to the Labour Benefits tab.
Example data has been entered to show the significant benefits that can be achieved by using Knowby across your organisation.
In the following steps we'll work through each section of the labour related benefits tab.
In the first section, enter:
the number of frontline staff in your organisation
the average number of tasks that are completed by each frontline staff member each month
the average amount of time that each task currently takes
the estimated percentage reduction in time that each task will take with the use of Knowby, and
the average fully loaded hourly rate of frontline staff.
The worksheet will calculate the total annual benefit from Knowby use.
The second section is about quality improvement.
Enter the following:
current number of significant errors that occur in your frontline work processes
the cost of a typical error, and
the expected percentage reduction in errors with the use of Knowby, which would be expected to be quite high.
The worksheet will calculate the annual cost savings from reduced error rates.
The next section will calculate savings from a reduction in frontline staff 'time to mastery'.
This is the estimated labour saving based on up-skilling your staff far more quickly than it would take if they didn't have Knowby as a resource.
Enter the following data points:
average number of new frontline hires each year
the time it takes staff (in weeks) to 'master' their roles
the estimated percentage reduction in this time with the implementation of Knowby.
The worksheet will calculate the total annual saving.
In the next section, enter:
the number of corporate back office staff in your organisation, including your customer support team
the average number of hours per month, which based on a full time user, is about 160 hours
the estimated percentage of time saved by using Knowby.
the average annual salary of your corporate staff.
The worksheet will calculate the overall corporate staff labour savings.
The section looks at customer support costs.
Enter the following data:
the current average number of customer support calls per month
the average cost of those support calls (total monthly support costs divided by the number of calls).
the expected percentage decline in the number support calls when customers have access to Knowby. This could be a high number depending on the extent of knowby's created for customers.
The worksheet will calculate the total annual savings.
The next section looks at staff onboarding cost savings.
Enter the following data:
the average number of new hires per year, including frontline and corporate staff
the current average training hours for those staff
the expected percentage reduction in training from the use of Knowby
the training cost per hour, which should include staff costs, trainer's costs and any other related costs.
The worksheet will calculate the total annual savings.
The next section is specific to frontline staff training.
Enter the following data:
the average annual training hours for each frontline staff member
the expected percentage reduction in training hours from their use of Knowby
the average frontline training cost per hour.
The worksheet will calculate the expected annual saving.
Next, click on the Other Benefits tab, where we can calculate potential savings in safety incident costs, software costs and other avoided costs.
To start this tab, enter:
the total number of hours that all your staff work for the year
the average lost time injury cost, which might be based on your experience
the average medical treatment injury cost
the average first aid incident cost
your current annual number of LTIs, MTIs and FAs
the estimated percentage of reduction in those incidents from the use of Knowby by your staff.
The worksheet will calculate the expected annual saving in safety related costs.
The next section is about avoided software costs.
By implementing Knowby, you can potentially avoid purchasing other related software or reduce your licensing cost of any existing software.
Manually calculate the potential savings for up to 3 pieces of software and enter them into rows 19, 20 and 21 of the worksheet.
The final section on this tab is about other avoided costs such as external travel, training and consultant costs.
Enter the following data:
external travel costs for training, etc
external trainer costs
external change management or other consultant costs
the expected reduction in the above costs with the adoption of Knowby.
The worksheet will calculate the expected annual cost savings.
Next, click on the Non-financial Benefits tab. This tab includes a number of non-financial measures, including the current risk and compliance (R&C) maturity level, which is based on the risk and compliance maturity matrix shown in the final tab.
In the first section, enter the current and expected R&C maturity level.
The worksheet will calculate the percentage improvement.
The same methodology applies to customer and employee satisfaction.
In the next two sections enter your current customer and employee satisfaction scores. Then enter expected scores with the adoption of Knowby.
The worksheet will calculate the percentage improvements.
In the next section there is an option to enter other compliance measures that will likely see an improvement with the adoption of Knowby. For example, ISO, Safety or Cyber security maturity scores.
Enter the current and expected future scores.
The worksheet will calculate the percentage improvement.
There's also a field called 'Other Non-financial benefits' for you to enter any other non-financial benefits that you might like to call out.
Once all the available data has been entered, return to the ROI Summary tab.
The worksheet will have calculated the Annual cost of Knowby licenses, public views and total recurring annual cost.
It will also reference the total annual labour savings and the other cost savings, to work out the payback period (generally in a matter of days) and the ROI percentage, which may be a large number.
The summary also shows the non-financial maturity improvements from the Non-financial Benefits tab.
