

Admin — Enable MCP for Your Organisation
This step only needs to be done once by an organisation admin.
Log into Knowby Pro.
Click on the ⚙️ Settings icon.
Click on AI assistants.
Turn on Allow AI Assistants to connect to this organisation.
Copy the MCP connection link shown on this page. You'll share this link with anyone in your organisation who wants to connect their own Claude account.
That's it for the admin side. Once MCP is enabled for the org, any user can go ahead and connect their own Claude account.
Note: Enabling MCP turns it on for the whole organisation — there's no separate per-user toggle. If you ever disable MCP at the org level, it stops working for everyone immediately.

Connect Your Own Claude Account
Each person who wants to use Knowby through Claude needs to do this individually — connecting the org doesn't automatically connect you.
Open Claude (desktop app or web) and make sure you're signed in.
Go to Settings → Connectors.
Click Add custom connector.

Paste the MCP connection link your admin shared with you (see Part 1).
Give it a name (e.g. "Knowby") and click Add.

Click Connect next to the new connector. This will open a browser window.
Log into your Knowby account.
(If you belong to more than one Knowby organization, select the one you want to connect)Click Allow access.
You'll be redirected back to Claude, and you're now connected.
Claude will remember this connection going forward, you shouldn't need to repeat this process unless you disconnect it or your access is revoked.

Tell Claude to Search Knowby First
By default, Claude will try to answer "how do I...?" questions from its general knowledge or the web.
To make sure it checks your organisation's own knowbys first, add a custom instruction:
In Claude, go to Settings → General.
Under Instructions for Claude, add: "Always search Knowby first before answering how-to questions."
What You Can Do Once Connected
Once connected, you can ask Claude things like:
"Create a knowby from this document" — attach a PDF, Word doc, PowerPoint, video, or paste a webpage link, and ask Claude to turn it into a knowby.
"How do I ...?" — Claude will search your organization's knowbys and return matching results (title, description, and a link).
When Claude finds a matching knowby, it returns the title, description, and a link to it — similar to a search result.
A Note on Output Quality
The quality of a generated knowby depends on which AI model your Claude subscription is using — for example, a more advanced model will generally produce a more accurate, well-structured knowby than a lighter one.
If the output is not as expected, try regenerating it with a more capable model in your plan.
Losing Access
If you're removed from your Knowby organisation, your MCP connection is automatically revoked — the same way your access to the Knowby app, web, and browser extension would be. You won't need to do anything, and you won't retain any ability to search or create knowbys through Claude after that.
If your organisation admin turns MCP off entirely, this applies to everyone in the org immediately, regardless of individual connection status.
