Today I'll be guiding you through various features and functionalities that will help you make the most out of your SAP reporting experience.

Let's dive right in. First, let's open up a report.

I'm going to use ZMM_MaterialMaster for this tutorial if you don't already have it in your favorites.

Make sure you add it. It's an important report.

What you can see here are different criteria that can be filled in to get accurate data.

For example, if I input 7100 in plant, I'll get MaterialMaster data report of Condal Park plant.

Similarly, if I put 7103 here, the outcome will be from 7100 to 7103, so that will also include 7101 and 7102, BDA plant, and Welsh Pool plant.

To make our report a bit concise, I'm going to add a raw material.

I'm going to use old material number from Dynamics AX system, BOT_ADS.

So let's just go ahead and run this report. Click the execute button on the top here.

So this is the output. This is what we call an ALV report, an advanced list view.

As you can see, we have output from our three plants, 7100, 7101, and 7102.

There might be no data in 7103. That's why it doesn't show here.

For now, let's go back to the selection criteria screen.

So what if I just want output of just two plants? CPK and Welsh Pool are multiple materials.

Let's have a look at that. Let me clear this first. Now I will click this arrow button here to enter multiple plants.

As you can see, you have four tabs here. Select single value, select range, exclude single value, and exclude range.

This is a very handy tool for us to use. For example, I just want data from CPK and Welsh Pool.

I can do this multiple ways. Easiest way, just enter plant number 7100 and 7102 in the select single values.

Alternatively, I can also enter 7100 to 7103 in the select ranges.

And in the exclude single values, I can type 7101. This will exclude plant 7101 from the output.

For multiple materials, I can do the same. Click on the arrow next to old material numbers and enter multiple materials.

I'll add some raw materials and finished goods.

Let's try out date ranges. I'll click the arrow next to created on field.

I'll click this selection option button and select greater than 1st of January 2025 and less than or equal to 30th of June 2025.

Alternatively, I can go to select ranges and add the dates here and we'll get the same output.

Let's talk about creating variants of reports and saving them.

Variants allow you to save specific settings for a report so you don't have to re-enter them every time.

So we have already filled out our specific criteria. Just click save here at the top.

Name your variant, I will name it Z-Admin and give it a little description.

And click save. Your settings have been saved now.

Let's go back to the SAP menu and run the report again.

Now as we can see that everything is cleared out. To get our saved variant, we will click here get variant.

You can use your username to find variants created by you. Click execute.

These are the variants that were created by my user account. We created this Z-Admin variant so I'll double click it.

Our saved criteria is filled. Let's run this report now.

Once you have executed your report, you can easily modify the layout for the output generated using the toolbar shown below.

You can sort in ascending or descending order.

Find a specific data if you have a much larger data set. Apply filters within the data set.

For example, I need data from plant 7100. I can click here, set filter and choose the fields from right hand box and move it to the left hand box.

Click on define values and add plant number here.

Alternatively I can select the column and click filters. It would bring me to the same screen.

Then we have a totals button. Here we can add total, mean, max, count in a column.

For example, I'll click on gross weight. Click on total.

And click on total it will give me the sum of all the rows of that column.

We have a print option here.

Also we can export our data to Excel. Click on export and select spreadsheet.

Click OK. Select your desired location.

I'll save it on my desktop. And open it up.

We can also add, remove or rearrange our data columns. For this click on choose layout and click on change layout.

I want to move standard price on second place. So I'll move it on the top by clicking here and then one spot downwards with this button.

I can also add more fields from the column set. Just select a field or multiple fields by pressing control on your keyboard.

And I'll move weight unit to our displayed columns. Click on save, name your layout and check default setting then OK.

Click OK again. You have changed the layout of this report.

If you want to copy a specific field on your report, click any row and press control and Y.
