

Admin — Enable MCP for Your Organisation
This step only needs to be done once by an organisation admin.
Log into Knowby Pro.
Click on the ⚙️ Settings icon.
Click on AI assistants.
Turn on Allow AI Assistants to connect to this organisation.
Copy the MCP connection link shown on this page.
You'll paste this link into Copilot Studio when you add the Knowby MCP server on Step 6, and you can share it with anyone else in your organisation who is setting up a Copilot agent.
Note: Enabling MCP turns it on for the whole organisation — there's no separate per-user toggle. If you ever disable MCP at the org level, it stops working for everyone immediately.
Create a New Agent in Copilot Studio
Sign in to Microsoft Copilot Studio at copilotstudio.microsoft.com.
Select Agents in the left-hand menu.
Click New agent (or Create your first agent if you don't have any agents yet).
A new agent opens in the Build view, named Untitled Agent.
Name the Agent
Click the Untitled Agent title at the top of the page.
Type a name for the agent, for example Knowby.
Note: The name must be unique within your Copilot Studio environment. If an agent with that name already exists, you'll be asked to choose a different one.
Add an MCP Tool
In the right-hand panel:
Click the + beside Tools.
In the Add a tool window, select the MCP tab.
Click + Add in the top-right corner.
Select Model Context Protocol (MCP)
The Add MCP server form opens.
Enter the Server Name and Description
Server name – for example Knowby.
Server description – tell the agent what the tool does, for example Search and create knowbys for our organisation.
Both fields are required.
Paste the MCP URL
Click into the Server URL field.
Paste the Organisation MCP URL you copied from Knowby settings in step 1.
Set Authentication and Add the Server
Under Authentication, select OAuth 2.0.
A Configuration type option appears – leave it set to Dynamic (with discovery).
Click Add.
Copilot Studio contacts the Knowby server and discovers its settings. This can take 10–20 seconds.
Create a Connection
When the Select a connection window appears:
Open the Connection dropdown (it shows Not connected).
Choose Create new connection.
Select the Knowby server you created previously.
Optionally enter a display name for the connection, then click Create.
A Microsoft Copilot Studio sign-in pop-up opens.
Sign in to Knowby and Allow Access
The pop-up shows Credential Manager wants to access Knowby.
If you're not already signed in to Knowby, sign in with your Knowby account.
Choose the Organisation the agent should have access to from the dropdown.
Click Allow access.
The pop-up closes and the connection is signed in.
Add the Connected Server to the Agent
Back in the Select a connection window, the Connection now shows your server name with a green dot.
Click Add.
After a moment the confirmation [server name] added appears, and the server is listed under Tools in the agent's right-hand panel.
Add the Teams and Microsoft 365 Channel
Click the + beside Channels and select Microsoft 365 and Microsoft Teams.
Under Availability, keep Microsoft 365 Copilot and Microsoft Teams selected.
Under About info, review the short and long descriptions, developer name and website. Under Teams settings you can switch on Supports calling and Discoverable in the Power Platform store.
Click Add channel.
Teams + Microsoft 365 now appears under Channels.
Save the Agent
Click the Save icon in the top toolbar (or press Ctrl+S / Cmd+S).
Wait for the green banner Your agent has been saved. to appear.
Publish the Agent
Click Publish in the top-right corner.
In the Publish window, confirm the channel shows Teams + Microsoft 365.
Click Publish agent.
The button changes to Publishing… – this takes a minute or two. When it finishes, Your agent published successfully appears and the agent's status changes from Draft to Published.
Share the Agent with Your Organisation
In the success window, click Share.
Under Organization, change Everyone in your organization from No permissions, unless specified to End user access.
Click Share.
When Agent shared successfully appears, click Copy link (Microsoft Teams) to copy the Teams link to your agent, then click Close.
Open the Agent in Microsoft Teams
Open a new browser tab and paste the Teams link you copied.
If your browser asks whether to open the Microsoft Teams app, you can open it there – or click Cancel and choose Use the web app instead.
Teams loads and shows the app card for your agent.
Add the Agent in Teams
On the agent's app card, click Add.
When Added successfully! appears, click Open.
A chat with the agent opens and it greets you: Hello! I'm [agent name]. How can I help you today?
Ask the Agent a Question
Type a question your Knowby library can answer – for example the title of an existing knowby in your organisation.
Press Enter.
The agent replies that it will check your organisation's guides first.
Approve the Knowby Tool Permissions
The agent asks for permission to use the Knowby tool – first to perform Search Knowbys, then List Knowby Steps.
Click Approve on each request.
Your response was sent to the app confirms each approval, and you'll see Calling Search Knowbys… and Calling List Knowby Steps… while the agent works.
Open the Knowby from the Answer
The agent answers with a link to the matching knowby, how many steps it has, a summary of the steps, and any related guides it found.
