1
Step 1 of 4

A public knowby can be opened by anyone on the web — no Knowby account, login, or organisation access needed.

It's the easiest way to share instructions with customers, partners, or anyone outside your team. You'll spot one on the home screen by the Public label on its card.

Public knowbys are charged per view, since public links aren't authenticated and every view counts.

Private knowbys, viewed by logged-in organisation members, are included in your plan at no extra charge.

2
Step 2 of 4

To make a knowby public, set its access to Public (Anyone on the web) during the approval process.

If it's already published, open the three-dot menu and click Unpublish first to send it back to Draft.

Then start the approval process, go to the Access step, select Public (Anyone on the web), confirm in the pop-up, and complete the approval to publish it.

💡 Not sure how to publish? Check out the Approve and publish a knowby guide.

3
Step 3 of 4

Once it's published as public, open Knowby Details to see your sharing options.

You can switch between Internal and Public for both the link and QR code, and you'll also unlock Embed code — so you can add the guide directly to a website or tool.

4
Step 4 of 4

Share the link, QR code, or embed code with anyone — they'll be able to view your knowby without a Knowby account or access to your organisation.
